Lead Sourcing and Enrichment
Leads are pulled in two ways: by region, and by company domain. When the agency supplies a list of companies, domain enrichment identifies the actual decision makers behind those domains and drops them straight into a live Google Sheet.
From there, leads are split by seniority. Senior-level contacts are filtered out and routed into dedicated leadership outreach campaigns rather than being treated like every other contact.
Cold Outreach at Volume
Four to five campaigns run live at once, sending roughly 100 to 150 emails a day across the board. Anyone marked out of office is smart paused automatically, so the system is not emailing someone who is away for two weeks straight.
Every reply is tagged by sentiment automatically — interested, not interested, out of office — sorted without anyone reading each one by hand. Only replies tagged interested move forward, and before anything is created downstream the system checks that the contact is not a duplicate.
From Reply to CRM Opportunity
The second someone replies interested, a new opportunity is created automatically in the CRM and dropped into New Leads, ready for the team to review and progress through communication, negotiation, and proposal.
The Core: Three Actions on Every Referral
This is the heart of the system. When a case manager submits a referral form, three things fire at once:
- Their outreach opportunity flips to Referral Submitted.
- A new referral pipeline opportunity is created, sitting in Under Review with every detail from the form already populated on the card.
- The same person is logged as an active partner in a separate pipeline.
Because matching the right caregiver to the right family genuinely matters, referrals are fully filterable by service, detail, city, race, ethnicity, and gender. The team is not scrolling through fifty cards to find the one that fits.
Automated Onboarding
Once a service agreement comes in, the system auto-generates every onboarding task into the task manager, assigned to the right person in the right order. When someone finishes their task, the next assignee is notified automatically.
Once every subtask is marked complete and the agreement is confirmed received, the opportunity jumps from Service Agreement Submitted to Ready to Activate on its own. No manual dragging of cards required.
The Same Logic for Caregiver Recruiting
The identical pattern runs through the staff recruiting pipeline. A job application auto-creates a New Applicant opportunity with hours, shift preference, availability, and location already on the card.
Move that candidate to Send Interview Booking Link and the scheduling link goes out automatically. The moment they book, they are marked Interview Scheduled.
What used to be five tools and five tabs is now one view.
The Safety Net
Running underneath every pipeline are automatic reminders. If a stage stalls for more than a day or two, the system flags it. Nothing sits untouched long enough to be forgotten.
