How It Works — The 3-Stage Access Flow

Stage 1 — Pre-Event Registration

When a guest registers through an email form or existing platform, their details are automatically stored in Airtable. A unique QR code is generated and emailed directly to them. This QR code is their entry credential for the first checkpoint — no app download, no account creation required on the guest's side.

Stage 2 — Arrival Verification and Wristband Assignment

At the first checkpoint, the event team opens the Reception Desk app and selects QR Scan. They point the camera at the guest's QR code. The system instantly verifies the guest's details and confirms they are cleared to enter.

The team then selects Assign Band, holds an NFC wristband near the device, and the system reads the band ID. A double-verification step re-scans the guest's QR to confirm the band is being linked to the correct profile. Once confirmed, the band ID and invite ID are written to the guest's Airtable record and their status is updated to Checked In — all in one flow.

Stage 3 — Frictionless Multi-Checkpoint Access

From this point forward, the guest taps their NFC wristband at every subsequent checkpoint. The system instantly surfaces their name, band ID, access tier (VIP, General, Restricted), and current status. No QR required, no manual lookup, no queue. One tap confirms access and logs the interaction in real time.
