Managing guest check-ins at events, resorts, private venues, and large properties is operationally painful. The typical setup involves paper guest lists, manual name searches, slow ID checks, and separate processes for VIP access, restricted zones, and attendance tracking. When guest volume is high, queues build at every checkpoint, security gaps appear, and the guest experience suffers.
There is also no real-time visibility into who is on-site, where they are, and whether they have the right access level for each zone. Event organizers are flying blind until the event is over.
This is exactly the problem this system solves — replacing paper, manual lookups, and fragmented processes with a single connected flow from registration to multi-checkpoint access.
The Solution: QR Registration + NFC Wristband Access
GrowwStacks built a three-stage guest verification and access control system combining Airtable as the guest database, a custom-built web application for the event team, and NFC wristbands as the physical access credential.
The system handles the full guest journey — from pre-event registration through arrival verification to frictionless multi-checkpoint access — without any manual intervention after the initial setup.
How It Works — The 3-Stage Access Flow
Stage 1 — Pre-Event Registration
When a guest registers through an email form or existing platform, their details are automatically stored in Airtable. A unique QR code is generated and emailed directly to them. This QR code is their entry credential for the first checkpoint — no app download, no account creation required on the guest's side.
Stage 2 — Arrival Verification and Wristband Assignment
At the first checkpoint, the event team opens the Reception Desk app and selects QR Scan. They point the camera at the guest's QR code. The system instantly verifies the guest's details and confirms they are cleared to enter.
The team then selects Assign Band, holds an NFC wristband near the device, and the system reads the band ID. A double-verification step re-scans the guest's QR to confirm the band is being linked to the correct profile. Once confirmed, the band ID and invite ID are written to the guest's Airtable record and their status is updated to Checked In — all in one flow.
Stage 3 — Frictionless Multi-Checkpoint Access
From this point forward, the guest taps their NFC wristband at every subsequent checkpoint. The system instantly surfaces their name, band ID, access tier (VIP, General, Restricted), and current status. No QR required, no manual lookup, no queue. One tap confirms access and logs the interaction in real time.
💡 NFC Wristband Programming: Each wristband is pre-programmed using the NFC Tools app, writing a unique identifier to the chip before the event. When tapped at any checkpoint device, the chip triggers the verification flow instantly — no app download required for the guest, no internet dependency at the point of scan.

Real-Time Airtable Visibility
Every check-in, band assignment, and access event is logged live in Airtable, giving organizers complete visibility into guest activity across the venue at all times.
Before vs. After: Event Access Control
Before: Event teams managed check-ins with printed guest lists, manual name searches, and separate ad hoc processes for VIP access and restricted zones. Queues formed at every checkpoint. There was no real-time record of who was on-site, and organizers had no visibility into access events until after the event ended.
After: Guests receive a unique QR code before the event. At arrival, one scan verifies them and one guided flow assigns their NFC wristband. Every checkpoint after that is cleared in under 3 seconds with a single tap. Organizers see the complete guest list status live in Airtable — checked in, pending, band assigned, access tier — updated automatically on every interaction.
Implementation Roadmap
- Airtable Database Setup: Configured the guest database with fields for name, contact details, invite ID, band ID, access tier, check-in status, and registration source.
- QR Generation and Email Delivery: Built the registration trigger that auto-generates a unique QR code per approved guest and emails it to them automatically.
- Custom Web App: Built the Reception Desk application with two core flows: QR Scan (camera-based verification with manual fallback) and Assign Band (NFC read + QR double-verify + Airtable record merge).
- NFC Wristband Programming: Set up the NFC Tools workflow for writing unique identifiers to each physical wristband chip prior to the event.
- Checkpoint Verification Flow: Built the tap-to-verify flow that reads the wristband NFC chip, pulls the matching guest record from Airtable, and displays the access confirmation screen with tier and status.
- Testing and Launch: Conducted end-to-end dry runs covering registration, QR delivery, wristband assignment, and multi-checkpoint access verification before going live.
The Right Fit — and When It Isn't
This system is ideal for private events, music festivals, resort properties, corporate conferences, gated venues, and any hospitality operation managing a large number of guests across multiple access zones — especially where VIP tiers, restricted areas, and attendance tracking need to run simultaneously without separate processes.
It is less suited to very small gatherings of under 30 guests where manual check-in is easily manageable, or for venues that cannot equip checkpoints with NFC-capable devices.
