The system runs on a two-scenario Make.com architecture, with VAPI handling voice conversations and ChatGPT powering the intelligence behind every interaction:
- Customer calls in: VAPI's conversational AI agent picks up instantly — no rings, no waiting. The agent greets the caller naturally and asks how it can help.
- Intent analysis: As the caller speaks, ChatGPT analyzes their words in real-time to understand what they need — appointment type, preferred date, time preferences, and any special requirements.
- Real-time availability check: The system queries Google Calendar during the active call, filtering available slots by business hours, existing bookings, and weekday vs. weekend rules.
- Slot presentation: Available times are presented conversationally through the voice agent. If the business is fully booked, the AI suggests alternative dates. If it's a weekend and the business is closed, it informs the caller and offers the next available weekday.
- Instant booking: When the caller picks a slot, the appointment is created in Google Calendar immediately — with customer details, booking purpose, and notes attached.
- Voice confirmation: Before the caller hangs up, the AI confirms the appointment details back to them verbally. No uncertainty, no follow-up call needed.

The Technical Build
This project uses a two-scenario Make.com architecture — one for real-time interactions during the call, and another for post-call processing.
Scenario 1 (Real-Time): Triggered by a webhook from VAPI mid-call. ChatGPT processes the caller's intent, queries Google Calendar for availability, applies weekday/weekend business rules, and sends formatted slot options back to VAPI within seconds — while the caller is still on the line.
Scenario 2 (Post-Call): Fires after the call ends. ChatGPT generates a booking summary, Google Calendar creates the confirmed event, and a confirmation is delivered through VAPI.
The weekday vs. weekend logic is particularly smart: custom conditions detect whether the requested date falls on a weekend, apply the correct business hour rules, and if the business is closed, the AI proactively suggests the next available weekday — all through natural conversation.
